This privacy policy explains how 8 Seater Coach Hire ("we", "us", "our"), operating through 8seatercoachhire.co.uk, collects, uses, and protects personal data when you use our website or submit an enquiry. We are committed to handling your data responsibly and in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. What Information We Collect
When you submit a quote request or contact us via the website, we collect the following categories of personal data:
- Name — so we can address your enquiry correctly.
- Email address — to send you a quote and any follow-up correspondence you request.
- Phone number — if provided, to offer a faster response by phone or WhatsApp.
- Trip details — pick-up and drop-off locations, travel dates, passenger numbers, and any other information you voluntarily include in your enquiry.
- IP address and browser/device information — automatically collected by our web server and any analytics tools in use, for security, fraud prevention, and site-performance purposes.
- Timestamp of submission — recorded with each enquiry for audit and response-time purposes.
We do not collect payment card details, financial information, or special category data (such as health information) unless you explicitly provide it as part of an enquiry — for example, notifying us of a disability or mobility requirement for transport planning purposes.
2. Why We Collect This Information
We collect and process your personal data solely to respond to your enquiry and, where a booking is confirmed, to manage that booking. Specifically, we use your data to:
- Contact you with a personalised quote for the transport you have requested.
- Liaise with our operator network to source a suitable vehicle and driver for your journey.
- Correspond with you regarding your booking confirmation, journey details, and any changes.
- Comply with any legal obligations arising from a confirmed booking (e.g., financial record-keeping).
We do not use your data for marketing, profiling, or automated decision-making. We do not sell your data to third parties. We do not share your data with anyone outside our immediate team and the operator required to fulfil your booking, except where we are legally required to do so.
3. Legal Basis for Processing
We rely on the following legal bases under UK GDPR:
- Legitimate interests (Article 6(1)(f)) — responding to your quote request is in both your interest and ours. We have assessed that this processing does not override your rights and freedoms.
- Consent (Article 6(1)(a)) — where indicated at the point of data collection, for example if you opt in to receive future communications.
- Legal obligation (Article 6(1)(c)) — for retention of financial records relating to completed bookings, as required by HMRC and applicable UK law.
4. Cookies and Tracking
Our website currently uses only essential technical cookies required for the site to function (for example, security tokens and session management). We do not currently use advertising cookies or third-party tracking scripts.
We intend to add anonymised analytics in future (such as a privacy-respecting analytics platform). When we do, we will update this policy to describe what is set, for how long, and what choices you have. We will seek your consent for any non-essential cookies before setting them.
You can manage cookie preferences in your browser settings at any time.
5. Data Retention
We retain your personal data only for as long as is necessary:
- Enquiries that do not result in a booking — your data is deleted 30 days after your last contact with us if no booking is confirmed.
- Confirmed bookings — data related to a completed booking (including any financial records) is retained for 7 years in compliance with HMRC record-keeping requirements, then securely deleted.
- Website server logs — IP addresses and access logs are retained for a maximum of 90 days for security purposes.
6. Your Rights
Under UK GDPR, you have the following rights regarding your personal data:
- Right of access — you may request a copy of the personal data we hold about you.
- Right to rectification — you may ask us to correct inaccurate or incomplete data.
- Right to erasure ("right to be forgotten") — you may ask us to delete your data where we no longer have a lawful basis to hold it.
- Right to data portability — you may request your data in a structured, machine-readable format.
- Right to object — you may object to processing based on legitimate interests; we will cease unless we can demonstrate compelling legitimate grounds.
- Right to restrict processing — you may ask us to pause processing of your data in certain circumstances.
- Right to lodge a complaint — if you are dissatisfied with how we handle your data, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
To exercise any of these rights, contact us at [email protected]. We will respond within one calendar month.
7. Data Security
We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. These include TLS encryption for data in transit, access controls limiting who can access enquiry data, and regular security reviews of our systems.
No internet transmission is entirely secure, and we cannot guarantee the security of data transmitted to our site. However, once received, we protect it using the measures described above.
8. Third Parties
We may share limited personal data (name, contact details, journey requirements) with the transport operator required to fulfil your booking. That operator will receive only the information needed to arrange your journey. Operators are required by contract to handle your data in accordance with applicable data protection law and to use it only for the purpose of fulfilling your booking.
We do not use third-party marketing platforms, data brokers, or profiling services.
9. Changes to This Policy
We may update this policy from time to time. If we make material changes, we will update the effective date at the top of this page. We encourage you to review this page periodically.
